As we continue to scale, we are looking for a Marketing & Events Coordinator to join the Marketing team. This position, based in London, is an integral part of Oxford’s growth plans and is an exciting opportunity to join a company at the forefront of the industry. Who are we looking for?

This role would suit someone who enjoys working collaboratively, but who is equally comfortable figuring things out and making things happen by themselves when necessary.

We are looking for someone who enjoys interacting with different types of people and has the skills to effortlessly bring them together in pursuit of a common goal.

We run between 10-20 webinars each month, each broadcast in three time zones, so along with superior interpersonal skills, you will need to be able to juggle lots of things at the same time. And you must have exceptional attention to detail.

Your creative skills will be in demand, too, as you will be responsible for developing the promotional assets and devising ways we can improve our webinar programme for the benefit of our subscription clients, and how we can use our webinars and events to generate more business.

About the role

Management of the webinar programme

We run 10-20 webinars each month, both live and recorded.

  • Curating and managing the schedule of webinars to ensure a full schedule
  • Liaising directly with the webinar presenters to obtain timely title and topic information ready for webinar set up and promotion
  • Preparation of webinar promotion materials, including development of images, registration pages on WordPress, invitations, social media posts
  • Setup, management and hosting of webinars using GotoWebinar
  • Managing inquiries from registrants
  • Coordination with all webinar participants, ensuring all presenters are ready and prepared, proofing presentations, and managing the recordings
  • Post-webinar follow-up activities, including sharing recordings with registrants, updating the website and other assets as necessary, and liaising with economists and BDs to ensure all questions are answered and provided to clients
  • Working closely with the wider marketing team to leverage and repurpose webinar recordings and materials for content marketing purposes
  • Use your copywriting skills to ensure that topics, titles and bios are catchy and interesting and that we are perceived to be both a trusted and familiar partner, and novel and innovative.
  • Define and implement new tactics and strategies to improve the webinar programme
  • Ongoing analysis of the webinar programme, monitoring and sharing of key KPIs
  • Liaising regularly with senior internal stakeholders (BD, economists, marketing) about the upcoming schedule, optimisation activities and results

Managing the event programme

Oxford Economics runs a programme of conferences, including a quarterly conference in London and an annual conference in New York.

  • Manage relationships with venues and other associated vendors, securing the best rates and highest quality
  • Coordinate with colleagues and other stakeholders to ensure the smooth running of the events
  • Support colleagues with travel bookings and other practical arrangements to ensure the smooth running of the events
  • Implementing budget, invoicing and logistics
  • Managing the promotions, communications and branding aspects of the event including commissioning artwork and printing of banners, badges, etc
  • Supervising catering, other on-site marketers, and security etc
  • Preparation of presentation materials including proofing and styling of PowerPoint decks to ensure brand consistency
  • Preparing reports and making a presentation to management after the event
  • Providing exceptional and professional customer support to our clients on-site
  • Use your copywriting skills to ensure that topics, titles and bios are catchy and interesting and reflect our brand goals to be perceived by our key audiences as a trusted and familiar partner, while nevertheless also ensuring we are perceived as novel and innovative
  • Ongoing analysis of the event programme, monitoring and sharing of key KPIs, and the execution of optimisations to continuously improve the programme
About you
  • Must have experience in collaborating with multiple teams across the business
  • Minimum of 2 years of relevant experience coordinating a portfolio of B2B webinars and/or events
  • Excellent interpersonal and communication skills are a must, with the ability to engage and persuade people at all levels of the organisation, including senior stakeholders
  • Experience with a webinar platform such as GotoWebinar
  • Willingness to travel to attend events in person
  • Proficiency in project management tools (Smartsheet experience desirable)
  • Creativity and great copywriting skills
  • Professional and polite attitude, with excellent customer service skills
  • Excellent organisational and time management skills with the ability to multitask
  • Energetic self-starter, willing and unafraid to embrace change to drive improvement
  • Understanding of key performance indicators in events management
Preferred skills
  • Experience with a marketing automation platform such as Hubspot or similar
  • Experience with a CRM such as Salesforce or similar
  • Experience with an event booking platform such as Eventbrite
  • Experience with Slideshare
  • Experience with WordPress
  • Experience with Canva
  • Proficiency in digital event promotion tools such as social media channels
