Administrator
Oxford Economics is looking for an Administrator to join the Administration team, based in London. This role is an integral part of Oxford’s growth plans and is an exciting opportunity to join a company at the forefront of the industry. The role offers significant career development potential.
The Administrator in London will assist the Administration Manager in carrying out all London based tasks in a professional and efficient manner.
Key Responsibilities
- Covering the reception desk in London from 9:00-17:30, Monday to Friday
- Receiving visitors
- Taking deliveries
- Office Maintenance, ensuring the smooth day to day running of the London office:
- Dealing with all maintenance issues for the London office
- Liaising with building managers or external suppliers on upkeep
- Coordinating the cleaners for the office
- Dealing with suppliers (Milk, News, Fruit, Watercooler, Nespresso, etc)
- Care of the plants and other decorative elements of the office
- Helping with security procedures
- Keeping the kitchens tidy through the day:
- Health and Safety:
- Ensuring that H&S standards are implemented and maintained in the London office
- Meeting Room bookings:
- Ensuring the rooms are tidy and set up appropriately for incoming client meetings
- Organising round table events and group meetings
- Post:
- Coordinating incoming post
- Daily post office duties
- Arranging e-couriers
- Social Events:
- Assisting with the organisation of the global and teams parties/events
- Setting up and coordinating monthly staff drinks parties in the office
- Sales Support:
- Supporting sales teams with the Salesforce procedures
- Checking renewals/new sales on Salesforce for invoicing
- Setting up users
- Assisting Salesforce support team with the tickets
- Creating various reports
- Reconciliation of clients’ accounts
- Travel:
- Booking flights, hotels and any other form of travel
- Ensuring that bookings are made at the best price and though the proper purchasing system
- Keeping detailed records of the travel arrangements
- Helping to acquire staff visas for travel:
- Compiling required paperwork
- Going to relevant embassies to obtain visas
- Stationery and Furniture:
- Placing stationery for London and Belfast offices
- Arranging any new furniture orders for London or Belfast offices (order, delivery and instalment)
- Keeping a detailed room layout for the London and Belfast offices
- Coordinating the confidential waste bins
- Other:
- Organising staff photos for the company website
- Ad hoc PA support for CEO and Chairman
- Looking after multiple inboxes (leave and sickness cover)
- Preparing factsheets for global companies
- Managing bike spreadsheet, visitors list and lockers
- Implementing sustainable office practices
Requirements
- Knowledge and experience of MS Office, especially Outlook, Word and Excel
- Excellent communication and organisational skills
- Excellent attention to detail
- Excellent Customer service skills, especially when dealing with customers in writing and on the phone
- Proven ability to take initiative and work independently
- Office management experience
This is not an exhaustive list. The Administrator must be prepared to work as part of a team and assist or carry out other duties as requested during periods of high workloads, sickness, holidays and emergencies.
